Privacy policy

What data MyRentFolio collects, why we collect it, who receives it, and how you control it.

1. Who we are

MyRentFolio is software for landlords, short-term rental hosts, and their tenants. Panorama Rentals LLC, a Tennessee limited liability company, operates it. In this policy, “we” and “us” mean Panorama Rentals LLC.

This policy applies to the MyRentFolio website, the web app, and the iPhone and Android apps. It covers landlords, tenants, and visitors who send an inquiry from a public listing page.

2. The short version

  • We collect only the data that the product needs to work.
  • We do not sell your data. We do not share it for advertising. We do not use advertising or analytics trackers.
  • You can delete your account and its data at any time in Settings.

3. The data we collect

Account data. Your name, email address, phone number, and password. Our authentication provider stores the password as a secure hash. We cannot read it.

Landlord business data. Properties, units, leases, rent amounts, charges, payments, expenses, receipts, documents, photos, listings, maintenance requests, contractors, tasks, and notes that a landlord enters.

Tenant data. A landlord enters a tenant’s name, email address, phone number, move-in date, lease, and payment records. A tenant can add a phone number, an emergency contact, maintenance requests, photos, and comments.

Plan payments (landlords only, when billing starts). The plan is free during the beta, and we collect no payment data. When billing starts, a payment processor collects the plan payment. We then keep the name and the last four digits of the account that pays, your debit authorization (the date, your name, your IP address, and your browser), and your payment history. The payment processor keeps the full account and routing numbers.

Short-term rental data. Bookings from calendar links that a host adds (for example, from Airbnb or VRBO), or that a host enters: dates, guest names, and guest contact details when the host provides them.

Inquiries from listing pages. The name, email address, phone number, desired move-in date, and message that a visitor sends to a landlord.

Rental applications. When you apply for a home, you send its landlord your name, email address, phone number, desired move-in date, the number of people who will live in the home, your pets and vehicles, your current address, landlord, and rent, your employer and monthly income, your references, your message, and any documents that you choose to upload, such as a photo ID or pay stubs. Uploads are optional. We do not run credit or background checks.

Technical data. Our hosting providers record IP addresses, browser types, and request logs to run and protect the service. We use only the cookies that keep you signed in.

4. How we use data

  • To run the product: show your portfolio, rent ledger, and alerts, and let landlords and tenants work together.
  • To send messages that the product needs, such as invites, email confirmations, sign-in codes, and account notices.
  • To protect the service and our users: detect abuse, investigate security events, and keep logs.
  • To give support when you ask for help.
  • To obey the law.

We do not use your data to train AI models, and we do not build advertising profiles.

5. Who receives data

Landlords and tenants. A tenant sees the lease, charges, payments, requests, and documents that their landlord shares with them. A landlord sees the data of their own tenants. Nobody sees the data of another landlord’s account. An application goes only to the landlord of the listing you apply to, and only you and that landlord can see it and its documents.

Service providers. These companies process data for us, only to run the product:

  • Supabase: database, sign-in, and file storage.
  • Vercel: website and app hosting.
  • A payment processor, for plan payments once billing starts. None receives data during the beta.
  • Google Maps Platform: address search, map locations, and the contractor search near a property.
  • OpenFreeMap: map images. Your browser loads them directly, so the provider receives your IP address.
  • Email providers, to send product emails such as invites and email confirmations.

The law. We share data when the law, a court order, or a valid legal process requires it, or to protect the safety of a person.

A sale of the business. If another company buys Panorama Rentals LLC or its product, your data moves to that company under this policy. We will tell you if that happens.

We do not sell personal information, and we do not “share” it for cross-context behavioral advertising, as California law defines those terms.

6. Landlords control their business records

A landlord decides which tenant data goes into their account and is responsible for having the right to enter it. If you are a tenant and you want a landlord’s records about you corrected or removed, contact your landlord first. If they do not answer, email us and we will help.

7. How long we keep data

  • Account data and business records: while the account is open.
  • When you delete your account, we delete its data at once, and its files with it.
  • When a tenant deletes their account, we delete their login and profile. The landlord keeps the lease and payment records for their business.
  • Rental applications: open and approved applications while both accounts are open. We delete declined and withdrawn applications and their documents 12 months after the decision, and all of your applications when you delete your account.
  • Backups and system logs expire on our providers' schedules. Deleted data leaves backups when those backups expire.
  • We keep our own business records, such as invoices, for as long as tax law requires.
  • Plan payments and debit authorizations: we keep payment records as long as tax law requires, and each debit authorization for two years after it ends, as the ACH rules require. This also applies after you delete your account.

8. Your choices and rights

  • See and correct your data in the app, or ask us for a copy.
  • Delete your account in Settings → “Your data” → “Delete my account.” You can also email us.

Depending on the state where you live (for example, California, Colorado, Virginia, or Texas), you can have more rights: to know, to access, to correct, to delete, to get a portable copy, and to appeal our decision. Email support@myrentfolio.com to use any right. We confirm that the request comes from you, and we answer within 30 days. We do not treat you differently because you use a right.

9. Security

We encrypt all traffic with HTTPS. Our database keeps each account’s data separate, so one landlord cannot read another’s. Our staff accounts use multi-factor authentication. No system is perfectly secure. If a breach affects your data, we will tell you as the law requires.

10. Children

MyRentFolio is for adults. We do not knowingly collect data from anyone under 18. If you think a child gave us data, email us and we will delete it.

11. Changes to this policy

When we change this policy, we change the date at the top. If a change is important, we tell you by email or in the app before it starts.

12. Contact
